Microsoft Exchange 2007

Exchange 2007 is Microsoft’s messaging software that manages an organization's data on an Exchange Server. The server stores all of a user's information, including email, calendars, address books, tasks, etc.

Once migrated to Exchange, Villanova employees will access their email, calendar, etc. using either the Microsoft Outlook 2007 client or Outlook Web Access (OWA). Click here to learn more about these two programs.

In many ways, Exchange/Outlook is different and superior to our current email/calendar systems. Below are just some of these benefits and differences.

Benefits

Integration of E-Mail, Calendaring & Tasks - In Outlook all of your Calendar and Tasks notifications (meeting invitations, responses, and delegated tasks) are handled automatically through your Outlook Email.

Fully functional web access to E-mail, Calendar, and Contacts - Outlook Web Access (OWA) allows you to view and modify your Email, Calendar, Contacts, and Tasks, all from the same interface.

Integration of task management - Tasks can be delegated to other people and allows for collaborative communication regarding their progress.

Calendar/Email/Contacts sharing - With Exchange, you can share your Outlook Email, Calendars & Contacts with selected people at various permission levels.

Differences

Currently, you have to go into two separate programs to access your E-mail and your Calendar/Tasks. However, Outlook combines Email, Calendar, Contacts, Tasks and more into one program!

You can access all of these things from your office using the Outlook 2007 client or from home using Outlook Web Access (OWA). Once your email account is migrated to Exchange, you will be able to access your account from anywhere via OWA at http://webmail.villanova.edu. You will also be able to access OWA from the Villanova homepage, just as you do now.

One added benefit of Exchange is that, if you are using the Outlook 2007 client in the office and OWA at home, you will be able to access all of your Email folders (except Personal Folders), your Calendar, your Contacts (both the directory and your personal contacts), and your Tasks, all from OWA!

Our Current Email System vs. Exchange

  • Trash folder is now called Deleted Items - Once you are migrated to Exchange, your deleted messages will go into a folder called Deleted Items. The Trash folder is no longer used. According to our email policy, items in the Deleted Items folder are purged from the system once they reach an age of 15 days.
  • Sent folder is now called Sent Items - Once you are migrated to Exchange, your sent messages will go into a folder called Sent Items. The Sent folder is no longer used. According to our email policy, items in the Sent Items folder are purged from the system once they reach an age of 60 days.
  • Junk folder is now called Junk E-Mail - Once you are migrated to Exchange, your junk mail will go into a folder called Junk E-Mail. The Junk folder is no longer used. According to our email policy, items in the Junk E-Mail folder are purged from the system once they reach an age of 30 days.

Calendar Collaboration

The enhanced Outlook Calendar allows you to share calendars with others in your office and view multiple calendars in a side-by-side or overlay view. Creating appointments with many participants is much easier using Outlook.

Contacts Sharing

You can create Contacts folders and share that folder with other Exchange users. This makes sharing of email lists much easier than in Thunderbird.

Cached mode

Outlook caches your email locally so, in the event that the Exchange server goes down, you can still work as though the server is up. When the server becomes available again, Outlook will synchronize with the server and send and receive any mail that is waiting on the server or in your Outbox.
