Guidelines
Mail Services make every effort to ensure packages are available for pickup on the day they arrive on campus.
Processing delays may occasionally occur due to circumstances beyond our control. Read about our policies regarding outgoing and interoffice mail, as well as mail to be metered, pre-stamp mail and special deliveries.
Preparing Outgoing Mail
All outgoing mail should be boxed, labeled, and taped or bundled and separated into the following categories.
Interoffice Mail
Mail and packages addressed to University departments or resident students must include the recipient's first and last name, department and building. Student mail must include the assigned VU mailbox number. Proper addressing ensures accurate and timely delivery.
Mail to be Metered
Mail for official University business is metered by Mail Services and charged to the department. Mail must be sorted by size and bundled with pieces facing the same direction. An Outgoing Mail Slip is required and must include the department account number, mail class and authorized signature. Unsealed business-size envelopes should be separated from pre-sealed mail. International and special services mail must be separated from domestic First Class Mail.
Pre-Stamped Mail
Mail bearing postage should be separated from interoffice and metered mail and bundled for pickup.
Special Deliveries
Certified Mail
Certified Mail provides proof of mailing and requires a signature upon delivery. Return receipt services are available for an additional fee. Certified mailforms and return receipts must be completed by the sender and are available at Kennedy Hall Mail Center. UPS is the University's preferred express carrier and offers discounted rates.
UPS items may be:
- Dropped off at the Mailroom (daily pickup);
- Deposited in campus UPS drop boxes: outside Jake Nevin Fieldhouse or at the Law School parking garage.
Departments using UPS may utilize their own account numbers and supplies.
