STUDENT ORGANIZATION EVENT REQUESTS

Registered Villanova student organizations in good standing with the university can designate student organization leaders who will have access to submit reservations on behalf of the organization. Students can sign-in to VenueVU using their Villanova credentials. Available spaces for student organization reservations include meeting rooms, event spaces, outdoor spaces, tabling spaces, and more. Campus spaces are organized into different templates in VenueVU, and each template can be used to book different types of space. Each template has unique booking rules, outlined below.

Student Organization Event Approval

All student organization event requests will be reviewed by both the space manager(s) for the requested campus space, and the appropriate university department or college sponsoring the student organization:

  • College of Engineering
  • Office of Fraternity & Sorority Life
  • Office of Mission & Ministry
  • Office of Student Involvement
  • Villanova School of Business

Events are not approved until final event confirmation is received via email. Student organization events are subject to the policies and expectations of their sponsoring office, and students should work with their student organization advisor in planning events. Additionally, all student organization events are subject to the guidelines identified in the Student Handbook Co-Curricular Policies.

REQUEST EVENT SPACE FOR A STUDENT ORG EVENT

Examples: Driscoll 132 Larson Auditorium, Connelly Cinema, Rowen Campus Green, Dougherty East Lounge, Sheehan Beach, Alumni Gym

Maximum # of Bookings per Reservation: 16 bookings

New Booking Required Lead Time: 3 business days

Furthest Booking Date: Up to 120 days in advance

Approval Process: Request (approval required from both the space manager and student organization's sponsoring office)

BOOK A STUDENT ORG TABLING SPACE

Spaces: 20 Tabling Spaces across Bartley Hall, Cascia Hall, Dixon Center, Dougherty Hall, Driscoll Hall, Drosdick Hall, Riley Ellipse

New Booking Required Lead Time: 1 business day

Furthest Booking Date: Up to 120 days in advance

Approval Process: Request (approval required from student organization's sponsoring office)

REQUEST A VIRTUAL/OFF-CAMPUS STUDENT ORG EVENT

Use this template to submit a request for a virtual or off-campus event to your student organization advisor for approval.

PROMOTE A STUDENT ORG EVENT ON THE UNIVERSITY CALENDAR

Use this template to submit a student organization event for promotion on the public University Calendar website. Events submitted to the calendar should be special events open to all students, not private events for your organization or regular meetings. In order to be approved for the calendar, your event must already have a confirmed VenueVU booking for the space; you will be required to provide the reservation ID of the confirmed reservation. Requests submitted in this template do not reserve space.

UNIVERSITY EVENTS & INITIATIVES

Through the Office of the President, University Events and Initiatives coordinates major university events, supports strategic campus initiatives, oversees the University Events Calendar, and provides general strategy and oversight of event management at Villanova.  

The office also offers support and guidance to departments and campus partners for planning events. Please feel free to reach out with any questions related to planning or hosting events on campus. 

VenueVU Key Terms

Reservation: The "who" and "what" of an event. One reservation can have multiple bookings.

Booking: The "where" and "when" of an event. There can be multiple bookings as part of one reservation.

Request: Indicates a space that requires approval to book.

Reserve: Indicates a space that can be directly booked and does not require approval.

Status: Indicates the current state of the reservation/booking in the review process:

  • Requested (awaiting review)
  • Confirmed (approved) 
  • Web Reserved (no approval process needed; space is reserved and no further action required)
  • Denied
  • Canceled
