Video Creation Guide

The following checklist is a guide for creating video content at Villanova University to ensure that the Villanova community has the proper resources to tell our stories while also optimizing for brand and legal considerations.

BEFORE YOU START

WHAT IS THE GOAL(S) AND THE OBJECTIVE(S) OF YOUR VIDEO PROJECT?

  • What is the purpose or desired outcome of your video? (e.g. informational, donations, solving a problem, etc.)
  • Who is the audience for your video: internal (e.g., faculty, staff, students) or external (e.g., public audiences), or both? This will determine your video privacy settings as well as platform (e.g., YouTube, Vimeo, etc.).

WHO WILL BE PRODUCING THE VIDEO?

  • Videos can be produced by your team, UTS, or a third-party video production vendor, but in all cases the guidelines below should be followed.
  • If you work with a third-party vendor, best practice is to make sure that at the conclusion of your project, all raw videos files are turned over to and owned by Villanova for future use. Contact the video team to determine the process for file transfers. 

WHERE WILL YOUR VIDEO LIVE/BE POSTED WHEN IT IS FINAL?

  • Determine your needs for distribution: whether you are using a webpage, email or social media channels, these platforms have different spec and length requirements that should be kept in mind as you are planning your content.
  • Make sure your final deliverables from vendors include access to both the final video files (in your desired formats) and the raw video materials for storage and archival purposes.

WHEN DO YOU NEED THE VIDEO?

  • Please consider deadlines, timing for review and approvals and other factors that could impact your timeline.
  • The various steps below require appropriate lead times that should be kept in mind when you are kicking off the project.
  • The UTS video and audio production services and third-party vendors may have varying production timelines depending on other projects that are in their queue.

HOW ARE YOU CASTING FOR TALENT?

  • Who will be featured on screen? Will your video project include students, alumni, faculty, staff or a combination of these groups? See below for information on getting necessary consent from video participants.
